Talent Flow | Recruiting

Don't let great candidates get lost in a spreadsheet

A recruiting system built for HR at small and midsize businesses. From the first interview to the signed offer, you see every candidate's progress on one page, and automatic reminders make sure no one slips through.

  • Every candidate's progress on one page
  • Automatic reminders for anything overdue, so you don't have to keep it in your head
  • Offers signed entirely online

12 recruiting stages covered. A complete audit trail, with a timestamp on every status change.

E-signature automation

Connects to an e-signature service: fill in the salary approval fields and send the contract for online signing in one click. Candidates can sign quickly on their phones, the system files the signed PDF automatically, and it keeps the process from running late.

What does a slow recruiting process cost you?

What your tools cost you is often invisible.

Good candidates walk away while the process drags Interview scheduling slips a week, salary approval stalls for three days, then the offer waits on a manager's signature. By the time you're ready, the candidate has accepted another company's offer. → Slow speed loses candidates more easily than pay does.

Status spread across three places, and no one sees the whole picture A spreadsheet tracks status, feedback gets chased verbally, and offers sit in some folder. When a manager asks, "What stage is that candidate at?", it takes you ten minutes of digging to answer. → You keep rebuilding the picture from scratch, and the process doesn't move forward.

Offers copied by hand, where one wrong number causes trouble You copy the last offer and change the name and salary. Miss one field or send the wrong version, and the candidate receives someone else's salary figure. Trust drops to zero instantly. → One paste error costs you your professional image.

Same recruiting, two ways to do it

No need to keep it all in your head. The system reminds you at every step.

Recruiting step Paper or spreadsheets Talent Flow
Tracking candidate status Cross-checking résumés against interview records, with no idea whose desk it's on A board shows everything on one page, with built-in error checks
Interview feedback Paper feedback forms go missing, and all you get is "seemed pretty good" A public form link for interviewers, with automatic follow-up after 3 days overdue
Salary approval The salary approval request goes out, and nothing moves while you wait Automatic alert after 5+ days overdue, so bottlenecks are visible
Sending the offer + signing Print it, mail it, and wait days for the signed copy to come back Templates fill in fields automatically; connect an e-signature service to send for signing in one click and sign on mobile
Manager asks for an update Digging through folders to piece together a report, and the numbers still don't add up A dashboard shows the funnel, bottlenecks, and start rate in real time

Answers to the questions you're likely to ask

I work in HR and don't code. How do I get my company using it? You don't need to set it up yourself. The system is open source (AGPL-3.0) and free for personal, academic, and non-commercial use. If your company wants to adopt it, get in touch to discuss. Help is available with setup such as your organization and job openings, along with hands-on training. Once the system is running, all recruiting work, including candidate management, interview feedback, salary approval, and offer signing, happens in the browser with no help from engineers at all.

What are the 12 recruiting stages? Does the process have error checks? The flow is: Not yet scheduled → First interview invited → First interview completed → Second interview invited → Second interview completed → Pending salary approval → Pending offer → Offer sent → Started, plus three closing statuses: No-show, Offer declined, and Not hired. The system strictly validates every transition. For example, "Started" requires the actual start date, and "Pending offer" requires an existing salary approval record. Admins can bypass these rules, but each bypass is recorded in the audit trail.

Is e-signature required? No. The e-signature integration is optional. Without it, the system still runs the full recruiting process (including offer generation, candidate management, interview feedback, and more); only the e-signature step is missing.

Can I customize the offer letter format? Yes. Offer letter templates fill in fields such as candidate name, approved salary, and expected start date automatically, and you can fully customize them on the "Settings → Offer templates" page. No engineering background needed.

Can multiple HR staff use it at the same time? Yes. The system has two roles, Admin and HR, and every user has their own account. Candidates can be assigned to different HR owners who each manage their own recruiting pipeline, and admins can view everyone's status and HR performance.

Where is my candidate data stored? Is it secure? Data is stored in your company's own database, and passwords are stored encrypted.
